WFCA Workshop Services

Often people have a great idea for a workshop or conference, but quickly feel overwhelmed when they consider the time and energy necessary to make the event happen. WFCA can help you bring your ideas to the right audience. We offer conference administration services to reduce your workload and help you focus on the program and speakers while we cover marketing, registration, mailing lists, hotel logistics and food arrangements. We can set up a division of labor to jointly produce a successful event while leaving you in control of the event and feeling a lot less stressed.

Let WFCA reduce your workload by considering these typical conference administration options:

  1. Event registration: WFCA can be set up to receive all registrations via a secure web site, phone, mail or fax. Registrations are entered into a database, money deposited, credit cards processed and a confirmation letter sent out. Event registration questions are handled by phone or email. Participant lists are provided weekly via email. Just prior to the event, name badges are produced and sent via FedEx to the meeting planner. After the event, outstanding registrations are invoiced. Meeting expenses can be paid out of this account or the registration funds are transferred to the meeting organizers. WFCA fees: $18 per registered individual and $0.035 on each dollar processed by credit card.
     
  2. Event administration: (This service is offered in addition to the above registration services.) WFCA can administer and supervise all aspects of the workshop or conference excluding program development and speaker recruitment and communications. This service would include developing the marketing materials, having them designed and printed, negotiating with hotels, supervising the registration process (as listed above), assembling and printing materials for on-site distribution, arranging with the hotel for meeting room set-up, food and beverages and audio visuals, administering the on-site registration process and meeting room arrangements. WFCA fee: $45 per hour plus direct expenses related to the event such as printing, travel, lodging, and graphic design.
     
  3. Joint sponsorship: With some events, WFCA will enter into an agreement to simply split the event profits 50/50. Usually this requires the co-sponsor to assume the duties of program development and speaker recruitment, while WFCA administers all other aspects of the event. These arrangements are made on a case-by-case basis and WFCA is open to continuing education ideas. Please contact richard@westernforestry.org for further discussions.
